Collecting membership fees with a bank-transfer QR code
For members who haven’t paid their membership fee yet, you can prepare a bank transfer. The member then sees a QR code on My membership and scans it with their own bank’s app: the amount, account number and message are filled in automatically.
One-time setup
Go to Settings → Lidgeld (or click Settings at the top of the Membership fee transfers screen):
| Setting | What it does |
|---|---|
| Membership fee transfers | Turns the feature on. Off = the screen and menu item can’t be reached. |
| Account number (IBAN) | The club’s account. The number is validated when you save. |
| BIC (optional) | Not required, but some banking apps read the QR code better with it. |
| Account holder name | As known to the bank. The member sees this name in their banking app. |
| Default message | The suggested template, with placeholders such as {Voornaam} (first name), {Achternaam} (last name), {Jaar} (year) and {Bedrag} (amount). |
| Structured reference (OGM) | Gives each transfer a unique Belgian +++nnn/nnnn/nnnnn+++ reference so you can match payments unambiguously. The free-text message is then not used. |
| Period mode | Calendar year, Fixed start month (e.g. a sports year from September to August) or Rolling (from each member’s join date). |
| Sports year start month | Only for a fixed start month: 1 = January, 9 = September, … |
| Pro rata for new joiners | Automatically suggests a lower amount for members who joined during the current period, per remaining month. |
The amount comes from the membership type’s Price, see Managing membership types and membership fees.
Preparing a transfer
- Go to Member management → Membership fee transfers. For each membership type you see the amount, the number of members and how many still owe the fee.
- Click Prepare next to a type.
- Under Which period?, choose the period with Current period or Next period, or enter Period from and Period until yourself and click Apply. That period doesn’t need to exist as a membership yet: it’s created automatically.
- Check the Message (not shown when OGM is enabled).
- Choose whether the member is notified: Send an in-app message and optionally Also send a push notification.
- Tick the Members you’re preparing the transfer for. You can search by name or email, and Select all includes everyone. Members who already received a transfer get the Already sent before badge.
- Adjust the Amount per member if needed. A pro rata amount gets the pro rata badge.
- Click Prepare for selected members.
Matching a payment
A payment via the QR code is not marked as paid automatically: that remains an administrator action.
- Using OGM? Paste the reference from the bank statement into Search by structured reference (OGM) at the top of the Membership fee transfers screen and click Search. You go straight to the right member’s membership tab.
- Click Mark as paid there, or use the quick menu in the member list.
The member then sees the payment status on My membership.
Importing payments from a bank statement (CODA, beta)
Instead of looking up each payment yourself, you can import the club’s bank statement. This is a beta feature: AmmoSuite turns it on for your club on request. It requires advanced member management and membership fee transfers.
- In your online banking, download the statement as a CODA file (version 2, maximum 5 MB).
- On the Membership fee transfers screen, choose the file under Import bank statement (CODA) and click Import. Nothing is saved yet.
- On the Match payments screen you see a suggestion for each payment:
- Payments with the structured reference (OGM) of a membership fee transfer are matched directly, with a status such as Matches, Different amount, Already paid or Already imported.
- Payments without a usable OGM get a suggestion based on a known account or on the name. These suggestions are never ticked by default: check them and choose another membership fee if needed.
- Under Unrecognised payments, choose the open membership fee yourself if the payment is a membership fee.
- Tick what is correct and click Mark selected membership fees as paid. The membership gets the value date as its payment date.
Turn on the structured reference (OGM) in the settings. Without OGM, payments can’t be matched automatically.
A confirmed match remembers the payer’s account number with the member, so a next payment from that account is suggested automatically. You see these account numbers under Known account numbers in the member file, where you can also remove them. Importing the same file twice is harmless: payments that were already imported are recognised. AmmoSuite only stores confirmed matches, not other transactions on the club account.
