Setting up and using the check-in kiosk
Setting up
- Make sure the Check-in kiosk module is active for your club (see Enabling and disabling modules).
- Turn on the Check-in kiosk setting (KioskEnabled) via Settings → Portal.
- On the device at your entrance (tablet, laptop or screen with a camera), log in as an administrator or lane officer and open the page Activities & programme → Check in (kiosk).
- Click Activate this device as a kiosk at the top. You can then log out: the kiosk keeps working on this device.
Members don’t need a login to check in. The device itself does need to be activated once. A device that hasn’t been activated, with no staff member logged in, shows Device not activated and reveals no names or bookings.
The activation stays valid for a year on that device and in that browser. If you clear the browser data or use another device, activate it again.
Deactivating all kiosk devices
Has a kiosk tablet been lost or taken out of use? As an administrator, click Deactivate all kiosk devices on the kiosk page. Every device then has to be activated again. Both activating and deactivating are recorded in the activity log.
PIN for manual check-in
Don’t want just anyone at the kiosk to check in another member by name? Enter a PIN for manual check-in under Settings → Portal. The kiosk then asks for that PIN code on every check-in without a QR code. Leave the field empty and no PIN is needed.
How members check in
- Via QR code: the member holds the QR code from their booking detail up to the kiosk’s camera. The kiosk immediately shows a welcome screen with lane group, lane and time slot.
- Manually: the member taps Manual check-in, then can search by name (from 2 letters) and select themselves. If your club has set a PIN for manual check-in, they then enter it.
A successful check-in marks the booking as present — visible in the daily overview.
For privacy reasons, the kiosk’s search screen automatically clears itself after 30 seconds without interaction and returns to the scan screen.
