Privacy notice

Last updated: 31 October 2026

This privacy notice applies to both AmmoSuite products: AmmoSuite Register (electronic firearms register for licensed dealers and shooting ranges) and AmmoSuite Club (membership management platform for shooting clubs). AmmoSuite processes personal data when you visit our website, get in touch, use a test environment, become a customer, or are a member of a club that uses AmmoSuite Club. Below we explain what data we process, why, and what rights you have.

1. Who is responsible?

Data controller: AmmoSuite, trading name of Davy Bammens (sole proprietorship)
Zonhovenstraat 39, 3500 Hasselt, Belgium
Company number: 0699.928.640
Contact: contact@ammosuite.com

If your club uses AmmoSuite Club, the club itself is the data controller for its members' data; AmmoSuite acts as processor in that relationship. This is set out in more detail in the Data Processing Addendum for Club.

2. What data do we process?

  • Contact details (e.g. name, email, phone, company name) when you contact us or request a demo.
  • Account details (e.g. name, email, role) when you have a user account, in Register or Club.
  • Technical data (e.g. IP address, device/browser info, log data) for security and troubleshooting.
  • Content you enter into AmmoSuite Register (register and customer data entered by you or your organisation). You remain responsible for what you enter.
  • Member data in AmmoSuite Club: identification and contact details, membership data, and where applicable firearms licences (Model 4), hunting permits and other documents requested by the club. Club firearms are deliberately tracked with a minimal data model, without serial number or photo.
  • Usage data in Club: bookings, session sign-ups, rankings and, if the member-to-member marketplace is used, listing data (without payment details).

3. Why do we process this data?

  • To deliver our service (accounts, authentication, register functionality).
  • For support, communication and scheduling demos.
  • For security, audit, logging and abuse prevention.
  • For maintenance, quality improvement and troubleshooting.

4. Legal basis

  • Performance of a contract (delivering the service, support).
  • Legitimate interest (security, fraud prevention, platform reliability).
  • Consent where required (e.g. if you explicitly request certain communications).
  • Legal obligation where applicable (e.g. invoicing/accounting).

5. Do we share data with third parties?

We only share personal data where necessary for the service to function. Third-party providers we work with:

  • Hosting and backups: your data is stored with our hosting provider (EU-based). AmmoSuite Register and AmmoSuite Club each run with a separate database per customer.
  • Web3Forms: processes contact form data (name, email, message) when you submit a request on this website. Web3Forms has a data processing agreement in place.
  • Email: we use an SMTP mail relay to send system emails (e.g. password resets, confirmations).
  • Push notifications in AmmoSuite Club run via the open Web Push protocol: they pass through your browser's push service (e.g. Google, Mozilla or Apple), but the content is end-to-end encrypted so that service cannot read it.

We do not sell personal data and do not use a payment processor or external advertising services.

6. Retention periods

We do not retain personal data longer than necessary for the purposes above, unless a longer retention period is legally required (e.g. accounting). We keep log and security data for as long as needed for security and troubleshooting.

7. Security

We take reasonable technical and organisational measures to secure data (including access control, logging and backups). No system is entirely risk-free; if you suspect a security issue, contact us immediately.

8. Your rights

  • Right of access, correction and erasure.
  • Right to restrict or object to processing.
  • Right to data portability (where applicable).
  • Right to withdraw consent (where processing relies on consent).

You can exercise your rights via contact@ammosuite.com, or, if you are a club member, via your club administrator. In AmmoSuite Club, an administrator can remove you fully from the system at your request, and you can export your own data yourself via your member portal.

9. Complaints

If you have a complaint, please contact us first so we can help. You can also lodge a complaint with the Belgian Data Protection Authority (GBA).

This English translation is provided for convenience. In case of any discrepancy, the Dutch version prevails.
