The explosives register (beta)
The explosives register keeps track of receipts and sales of loose powder (smokeless and black powder) and primers, day by day (Royal Decree of 23 September 1958, art. 263). It is separate from the registers under the firearms act.
Beta, on request. Ask us to release the explosives register for your environment. An administrator then turns it on via Settings → Beta features → Explosives register (powder and primers) → Use. Whether an electronic powder register is legally sufficient has not yet been confirmed by the FPS Economy. You remain responsible for your legal obligations yourself: print the register regularly as a PDF and keep it.
You find the register in the menu under Explosives. It has three tabs: Register, Products and Settings.
1. Settings
On the Settings tab, an administrator enters the limits from your explosives licence:
| Setting | What it does |
|---|---|
| Maximum storage: powder (kg) and primers (pieces) | You get a warning from 80% and when the limit is exceeded. 0 = no limit. |
| Sales thresholds per buyer per day | Above the threshold you get a warning and the buyer’s licence numbers are mandatory. Default 2 kg of powder and 5,000 primers. 0 = no threshold. |
| Use primers | If you turn this off, primers disappear and can no longer be booked. Existing bookings are kept. |
| Late entry: maximum number of days back | How many days back you may still record a forgotten movement with its real date. Default 7. 0 = today only. |
2. Products
On the Products tab, add the types of powder and primers you book: category, brand, product name or type, UN number and the content of one package (grams for powder, pieces for primers).
A booking keeps a fixed copy of brand, name and UN number, so changing a product later doesn’t change the register. If a product already has bookings, its category is fixed and you can no longer delete it. Set it to Inactive instead.
3. Booking
On the Register tab, click New booking and choose the type of booking:
- Receipt: you receive powder or primers from a supplier.
- Sale/delivery: you sell or deliver to a buyer.
- Opening stock: the count at the start of the register. This is possible once per product, only as long as that product has no bookings yet.
Fill in the product and the quantity (in grams or pieces, or in packages), and the name and address of the supplier or buyer: these are legally required. For a sale, you choose the buyer from your customers, or create a new one right away. You can scan or type a lot number or identification code.
If a buyer receives more than the sales threshold in total on one day, the buyer’s licence numbers are mandatory. The stock can never become negative.
Click Record. A recorded booking is final.
Late entry. You may still record a forgotten movement with its real date, up to the configured number of days back. Enter the reason under Note. The sequence number and the balance always follow the moment of entry. Such a booking gets the label Late, also in the PDF and the CSV.
Correcting a mistake
You can’t change or delete a booking. Click Correct next to the booking to record a counter-booking: it corrects (part of) the booking in the opposite direction, with a mandatory reason. The register shows which booking was corrected and by which counter-booking.
Viewing the register
At the top you see the powder stock and the primer stock, with your maximum. For each booking, the table shows the sequence number, the date, the product, what was received or delivered, the running balance, the supplier or buyer and who recorded the booking.
Filter by period, product, category or counterparty, and use Order to choose Oldest first or Newest first.
PDF prints the register in register format (A4 landscape, numbered pages, carried-over and running balance, with a space for initials). CSV exports all bookings. Both always stay chronological.
Auditors can view the register, but not book. Only an administrator can change the settings.
